So what is ICHRA?

ICHRA stands for Individual Coverage Health Reimbursement Arrangement.

It’s a flexible, modern way for employers to provide health coverage to employees utilizing individual plans instead of the old-fashioned group medical plan options. With ICHRA, employees get more control over their health insurance choices and the employer still provides a contribution towards your premium, just like in group health.

With ICHRA you get the best of both worlds!

It is important to note that your employer has taken great care to ensure the monthly medical allowance they provide for your ICHRA plan offer meets the requirements of the Affordable Care Act.  This means that the benefit program they offer is affordable. 

Because your company offers this ICHRA plan, you may no longer eligible for a government subsidy for health insurance.

Before You Begin...
Before you can look at plans or enroll in health benefits, you must create your account. Go to your inbox and look for a Welcome Email and an Invitation email from Leewayhq.com. Click on the ACCEPT INVITATION link to set up your account, and complete your personal information.

Have you had a life changing event and need to change your coverage? 

A qualifying life event (QLE) is one that impacts your health insurance needs such as a birth or adoption, marriage, divorce, loss in coverage, death, new spousal coverage, etc.

To change your coverage upon a QLE, you must REPORT your QLE to your administrator.  Once your administrator has approved and documented your QLE, you will be able to login to the platform with your email address and date of birth or the password you created when you activated your account and click Report a Life Event on your dashboard.

Once your report has been processed in the platform, you must schedule a call with our expert enrollment team to make any changes to your coverage or elect new coverage.  If you only want to cancel your coverage due to your life event, you may request termination directly on the Leeway ICHRA platform.  You will still have to report your QLE first.  Simply go to your Leeway Dashboard, Select Coverage, Click QLE and Request Termination.  Note that before termination of your plan coverage will be implemented, you will be asked to provide proper documentation for your Life Event (for example, a birth certificate, marriage certificate, etc.)

Please note that you only have a short period of time from the date of the event to make any changes.

Medicare and ICHRA 

If you or one of your family members becomes Medicare eligible while on an ICHRA plan, you must login to the ICHRA platform (Zorro) to report a Life Event.  Click HERE to login to the Leeway ICHRA Platform. You will then need to schedule a call with one of our Medicare Enrollment Experts. We strongly encourage you to schedule a call with a Medicare Enrollment Expert up to THREE MONTHS PRIOR to turning 65 years of age.

It is important to remember that while your employer is not responsible for any part of the basic Medicare plan premium, you are entitled to be reimbursed by your employer for Medicare Part B and/or Supplements that you elect.  After you pay those supplement premiums each month, you will provide proof of payment to your employer, and the employer will reimburse you up to the maximum allowable by the state in which you reside.  

This reimbursement is not handled by Mi-Benefits, but by your company via payroll.

Frequently Asked Questions

Enrolling in ICHRA as a new hire or newly eligible employee is easy with our straightforward process on the Leeway ICHRA Platform.

  •  You will receive a Welcome e-mail and an Invitation to create your account on the Leeway ICHRA Platform. Look for these emails to come from        @leewayhq.com.
  • Click the ACCEPT INVITATION LINK in the Invitation email to create your account
  • To enroll in new individual coverage, create your  account. Confirm and/or update your personal information including dependents, etc.  Look at plans that you feel meet your needs.  Schedule a Call with one of our enrollment experts by clicking HERE, and we will help you make the best choice and submit your enrollment.  DO NOT click “Review & Submit” before you speak with an enrollment agent.  Your progress will be saved.
  • If you would like to self-enroll in the platform, we do suggest that you still Schedule a Call with an enrollment expert before you submit your selection just to be sure you are choosing the right plan for you.  Once your plan selection is submitted, you will not be able to make any changes until next year’s Open Enrollment or if you have a Qualifying Life Event. Once you click “Review & Submit”,  your election is final.  You cannot “return or exchange” your insurance plan like a sweater at the store, nor can you cancel your plan.   
  • If you already have Individual Health Insurance Coverage, or Medicare, you can stay on the same plan—but you will still need to create your Mi-Choice account. Once you’ve created your account, at the “Enrollment” step, you will simply choose “I’m already enrolled.”  Here you will be able to enter your existing coverage information, and your monthly allowance will be applied.
  •  To WAIVE your ICHRA offer, you must still create your account and choose “Waive.”  It is also important to create an account in case of a life event, and you find yourself in need of coverage anytime during the year.

No.  You now have the ability to individualize your own health care coverage and not be grouped together with what everyone else needs.  With ICHRA, you have more control over your choices, and your employer still makes a contribution toward your premium.  It’s the best of both worlds!

The monthly allowance, or employer contribution, is the amount of money that your employer is giving you toward paying for your individual health care plan premium.  The amount is determined by various factors such as age, state of residence, etc.  When you login to the Leeway ICHRA platform to look at plans, you will be able to see the EMPLOYER CONTRIBUTION AMOUNT.  If you are speaking with an Enrollment Agent, they will have your Employer Contribution/Monthly Allowance as well.

If you encounter an issue logging in to the platform, here are a few troubleshooting steps you to follow.

  • Check that the email you are using to login is the email that your administrator used to set you up in the system. 

  • If you are a newly hired employee or a newly eligible employee, confirm that you have received a Welcome and an Invitation email and have clicked the ACCEPT INVITATION LINK to create an account.

  • If you are a newly hired or a newly eligible employee, and you cannot find the Welcome Email or Invitation Email,  go to the Leeway ICHRA Platform, click on Forgot Password, add your email address, and continue.

Not at all! Mi-Benefits understands that everyone has different comfort levels with technology. If you are uncomfortable with the selection platform, we have alternatives.

  1. Schedule a Call: Schedule a call with the enrollment team by clicking HERE.  You will receive personal assistance in selecting your benefits.

  2. Admin Assistance: Your administrator has the flexibility to put your information into the scheduling tool and schedule a call on your behalf.

No, Mi-Benefits/Mi-Choice offers a flexible enrollment solution tailored to your preferences. You have two main options:

  1. Expert Enrollment Team: You may choose to schedule a call with our expert enrollment team. During this call, you will receive guidance to select the benefits that best fit your needs.

  2. Self-Select: You may self-select benefits on the Leeway ICHRA Platform. This option gives you tools to self-evaluate you health insurance needs to make the best choice.

Please note that once selections are made and submitted, your election is final. To ensure you make the right choice for you and your family, we suggest that you schedule a brief call with our expert enrollers to finalize your decision before you click “Review & Submit.”

You will receive reminder notifications before your scheduled call. Our enrollment experts will make two attempts to complete the call. If you were not able to take either call, you must RE-SCHEDULE right here on the Employee HUB. Please look for an incoming call from area code (801) or (385).  Click HERE to reschedule your call.

  • Not all insurance carriers will  allow our enrollment team to set up the autopay for your virtual debit card on your behalf. 
  • You are not being asked to set up an automatic payment from your own personal account. 
  • DO NOT USE YOUR PERSONAL PAYMENT INFORMATION. 
  • The carrier requires that you authorize autopay to ensure your premiums are being paid by the company’s account.
  • To set up autopay, you must register for an account on the carrier’s website with your member ID.
  • Use the Virtual Debit Card Account or ACH Account and Billing Address information provided in your Zorro Account Dashboard.  If your carrier does not accept debit, they will use ACH debiting.  That bank account and routing information is also available to you.   
  • Detailed information on how to set up your autopay was emailed to you by the enrollment team (please check your inbox and junk folder).   
  • It is important that autopay is set up in a timely manner (within the first two weeks of your first month of coverage) so no monthly payment falls behind causing a possible lapse in coverage.

You should have received an email with the information below to include your personal details.

There is one final step to take for your insurance enrollment for the year. You should have received an email during Enrollment instructing you to set up auto pay with your carrier; this is to ensure your premiums are paid by the company account each month.

  • We cannot set up autopay on your behalf.
  • The virtual Visa debit card or ACH Account information is available in your Zorro dashboard.  This is the account information you will use to ensure your premiums are being paid for by your company.
  • Do not set up autopay with your own payment method.  A virtual debit card was set up in your name (even though the company funds it). You’ll see that the billing address for this card is also listed.
  •  Go to your carrier’s website to register for an account. You will need your Member ID to complete this.
  • Login to the Member Portal.
  • Go to the “Billing and Payments” section near the top of the page.
  • Click on “Make a payment” and select to enable auto pay.
  • Use the account information on your virtual debit card or ACH account.

Again, this will ensure that your premium payments are pulled by the carrier from the company account each month.

Keep in mind that this is an individual policy, and that you, as the owner of the policy are responsible for authorizing your carrier to autopay your premium through your company’s account.  Before the end of the first month of coverage, you may want to contact your carrier directly to ensure the autopay is set up and authorized by you.  Any failure in autopay may result in a lapse in coverage or cancellation due to non payment.

If you receive a bill, it’s important to understand that individual insurance policies come with their own unique processes and procedures from each carrier. Some systems automatically generate billing when a member is enrolled.  If you receive a bill from a carrier for your NEW individual insurance plan, you should not pay it. Your company’s ICHRA arrangement ensures that payroll deductions and contributions cover the premium costs.  If you receive a bill from a carrier for PREVIOUS plan, you must take action to cancel that plan.  If you need assistance, please contact us by submitting an ARF.

It may take a while to receive an ID card.  Please recognize that these are individual policies, and each carrier follows its own specific procedures.  Carriers will distribute Member ID Cards via email and/or USPS mail. With many carriers, you can go to the carrier’s online portal to request a temporary card, or download the carrier’s mobile app, which will give you a digital ID card for use beginning on the effective date.  

Yes.  If you do not want to participate in a healthcare plan, you must login to the Leeway ICHRA platform to WAIVE COVERAGE.

If you or one of your family members becomes Medicare eligible while on an ICHRA plan, you must login to the Leeway ICHRA platform to report a Life Event (QLE).  You will then need to schedule a call with one of our Medicare Enrollment Experts. A QLE or Qualifying Life Event must be first approved by your administrator.  Upon approval, you will be able to login to the Leeway ICHRA platform to “Report a Life Event” on your dashboard.  You must then schedule a call with an enrollment expert to make any changes or elect new coverage during a Special Enrollment Period.

It is important to remember that reporting of life events and making changes to a policy must be completed in a timely manner.  For example, while a marriage, divorce, or loss in coverage may have a 60 day Special Enrollment Period, an event such as a birth or adoption may have only a 30 day Special Enrollment Period.

If you plan to cancel your coverage, please schedule a call with an enrollment agent.   You may also be asked to contact the carrier directly.  Some carriers require written notice to terminate a plan as well.  Be sure to confirm cancellation with your carrier to avoid being charged for your premium. 

If you will no longer be working for the employer where you elected your current health care coverage, you do have the option to keep that coverage since ICHRA is an individual plan that you own. 

  • To keep your Individual Health Insurance Plan, simply  contact the carrier directly or via their online portal and update your form of payment to your personal account, debit card, or credit card.
  • It is not necessary to go through COBRA to keep your coverage.
  • If you do not want to keep your coverage, it is your responsibility to cancel that plan directly with the carrier.  Some carriers will require written notice to cancel a plan. If you do not confirm that your plan has been cancelled, you may be charged for your premium.  Failure to pay these premiums may result in action from a collection agency. 

Complete the ‘Assistance Request Form’ by clicking HERE. Once you’ve submitted the form, you’ll receive a confirmation receipt in your inbox, and our team will promptly assess and address the issue. Expect to hear from a Mi-Benefits team member within 24 hours or one business day.

On-Exchange plan premiums are paid with Post-tax deductions and Off-Exchange plan premiums are paid with Pre-tax deductions.  On-Exchange means the plan is purchased through a state-based exchange or Healthcare.gov.  Most plans are Off Exchange/Pre-Tax. Only in certain states do On-Exchange plans come into play.

Because your employer is offering you affordable health care coverage, you may no longer eligible to receive a subsidy.  If you do accept a subsidy on the marketplace when you are not eligible, you will owe  those monies back to the government. For more information, consult your administrator and/or healthcare.gov.

Employers offering an Individual Coverage Health Reimbursement Arrangement (ICHRA) must provide an IRS 90 Day Notice/HRA Model Notice to eligible employees.  Mi-Benefits gives this notice to each eligible employee as part of their ICHRA offer.

This annual notice informs employees about the ICHRA and its interaction with Affordable Care Act (ACA) Premium Tax Credits. The notice must include the following information:

  • ICHRA overview: Explain key terms, the monthly reimbursement amount, and whether dependents are eligible.
  • Opt-out provision: State that employees can opt out of the ICHRA and that doing so means forgoing funds for the remainder of the plan year.
  • Enrollment instructions: Detail how employees can enroll in qualifying individual health coverage.
  • Premium Tax Credit impact: Explain how enrolling in the ICHRA could affect an employee’s eligibility for premium tax credits.
  • Special Enrollment Period (SEP): Inform employees of the 60-day SEP that is triggered by the offer of an ICHRA, which allows them to enroll in individual coverage outside of the standard open enrollment period.
  • Affordability guidance: Provide resources to help employees determine if their ICHRA allowance is affordable.
  • Coverage substantiation: Explain the process for how employees must verify their individual health coverage to receive reimbursements.
  • Contact information: Provide a point of contact for employees with questions about their ICHRA benefits.
